Separate created, paid, and confirmed
A created transaction is not necessarily paid. A success screen on the customer's phone still needs to match the amount and status on the merchant side. The cashier needs clear states: waiting, successful, failed, or expired. Do not create a second invoice merely because the first confirmation takes a few seconds.
Split payment should remain one transaction
When a customer pays partly in cash and the rest through QRIS, record both methods on one invoice. The payment total must equal the purchase total before closing the sale. This keeps inventory, sales, and payment-method reports synchronized.
Prepare for imperfect conditions
- Delayed confirmation: hold the invoice instead of creating another sale immediately.
- Wrong amount: cancel through the defined procedure and record the reason.
- Customer paid twice: flag it for review and refund without deleting the trail.
- Outlet internet is down: separate offline sales that can proceed from payments that require network confirmation.
A fast cashier is not one who skips checks. Speed comes from clear statuses and recovery steps the team already understands.
Reconcile by payment method
At shift end, match the QRIS total in the POS with the payment provider report, then keep it separate from drawer cash. Keep pending items, refunds, and duplicate payments as open work. This prevents small checkout differences from becoming an accounting problem at month end.
